Terms for coaches

These terms apply to coaches who offer tennis or padel lessons through Tennis Warsaw and Crabo (the Service) as part of their business or profession. They supplement the Terms of Service and the Community rules, which apply to coaches as to all users, and implement Regulation (EU) 2019/1150 on fairness and transparency for business users of online intermediation services (the P2B Regulation). We have tried to write them in plain language; if something is unclear, write to support@tenniswarsaw.club.
1. Who these terms are for
These terms apply to you if you create a coach profile in the Service to offer lessons to players — individual, group or children's lessons, for tennis or padel — whether you work alone or with an academy. You accept them before your coach profile is sent for review. The agreement lasts for an indefinite period until you or we end it (section 10, section 11).

3. Joining the coach directory
- You fill in a coach profile: display name, a description of yourself and your lessons, city, a contact link, lesson types, sports, prices, and optionally a photo, a video and an academy.
- Our administrators review the profile before it is published. We check that it describes a real coach and real lessons and that it complies with these terms, the Terms of Service and the Community rules. We may ask you for more information.
- Once approved, your profile appears in the coach directory and you can use the coach features. If we don't approve it, we tell you why, and you can correct the profile and send it again.
- Changes to your profile are reviewed again before they appear. While a change is under review, your profile is temporarily not shown in the directory.
4. What the Service offers coaches
- a public coach profile on the website, in the Telegram Mini App and in the Crabo app;
- lesson offers with prices, working hours and time off, and a calendar of lessons;
- lesson requests and bookings from players, a list of your clients (including clients who don't use the Service, whom you can add by name), attendance and a record of lessons paid;
- a 1:1 chat with players and access to players' requests for lessons;
- reviews and ratings from players (section 8).
Fees. Using the Service as a coach is currently free, and we charge no commission on lessons. Players pay you directly, outside the Service; the Service only lets you record what was paid. If we ever introduce fees, we will tell you at least 15 days in advance (section 12).
We are not a party to your agreements with players and don't take part in the lessons.
5. How coaches are listed
The main parameters that determine the order of the coach directory (article 5 of the P2B Regulation) are:
- Status — only approved profiles are listed.
- Sport filter — the list shows coaches of the chosen sport (tennis or padel); by default the sport of the player who is looking. A coach of both sports appears in both.
- Date of joining — within the list, coaches are ordered from the most recent to the earliest date of their first application.
Ratings, reviews, prices, academies and the number of lessons do not affect the order. Nobody can pay for a higher position, and no other form of payment to us influences the list. Advertising we may offer (for example a post in the club's Telegram group) is labelled as such and does not change the directory. If we change these parameters, we will update this section and tell you in advance (section 12).
6. Equal treatment
We apply the same rules to all coaches. If we, or a company we control, offer lessons through the Service, those lessons are listed and shown under the same rules as yours, with no preferential treatment (article 7 of the P2B Regulation). An academy badge on a profile is only information and does not affect the order of the list.
7. Your responsibilities as a coach
- Accurate profile. Your name, qualifications, experience, prices and conditions must be true and up to date. Don't present yourself as having licences or titles you don't have.
- Your lessons, your terms. You set the price, place, duration and cancellation rules of your lessons and must show them clearly. Towards players who are consumers you are the trader, and you must give them the information the law requires.
- Taxes and business. You are responsible for your own business registration, taxes, social security contributions and invoices or receipts.
- Insurance and safety. We recommend third-party liability insurance. Take care of players' safety and follow the rules of the venue.
- Children. Lessons for children under 16 may only be agreed with, and managed by, their parent or legal guardian, who must consent to the lesson. You must comply with the law on protecting minors, including any checks it requires of people working with children.
- Players' personal data. Use players' data you get through the Service only to arrange and give lessons. For the data you record about your clients (including those who don't use the Service) you are responsible as a controller under the GDPR. Don't copy players' data out of the Service for other purposes, and don't send them advertising they haven't asked for.
- Respect blocks and reports. If a player blocks you, the Service keeps you apart; don't try to contact them in other ways.
- Honest reviews. Don't write reviews of yourself, don't ask anyone to write fake reviews, and don't offer anything in exchange for a review.
8. Reviews
Players who have played at least one completed tournament in the Service can leave one review per coach: a rating from 1 to 5 stars and an optional text, which may be anonymous to other users. Our administrators check reviews before they are published; only published reviews count towards your rating. We remove reviews that break the Community rules or aren't based on the reviewer's own experience. If you think a review about you is false or unlawful, report it or write to support@tenniswarsaw.club — we will review it.
9. Access to data
The P2B Regulation (article 9) requires us to explain who has access to data in connection with your coach activity:
- What you can see: the data players give you through the Service to arrange lessons — their name, photo, level and the messages they send you — and everything you record yourself: your profile, offers, calendar, lessons, clients, attendance, payments marked and notes.
- Your copy: you can download all data of your account, including your coach profile, calendar and lessons, with Download my data in Settings.
- What we can access: all data provided or generated in the Service, which we use to run and secure the Service, to handle reports and complaints and to meet legal obligations, as described in the Privacy policy.
- Other coaches see only your public profile.
- Third parties: we don't sell your data or give it to other coaches or businesses; our technical providers process it on our behalf (Privacy policy).
- After the agreement ends: your coach profile, calendar, offers and lessons are deleted, together with the reviews of you.
10. Restriction, suspension and termination
We may restrict your coach activity (for example hide a profile, an offer or a review), suspend your coach profile or terminate your use of the coach features if:
- your profile or offers are false, misleading or incomplete, or you misrepresent your qualifications;
- you seriously or repeatedly break these terms, the Terms of Service or the Community rules;
- players report harassment, unsafe conduct, fraud or other serious misconduct and our review confirms it;
- you post fake reviews or manipulate ratings;
- the law, a court or an authority requires it, or your activity puts players or the Service at risk;
- you are no longer active as a coach.
Statement of reasons. Before or at the moment a restriction or suspension takes effect, we send you — by email or a message in the Service or the bot — the reasons: the facts and circumstances and the rule it is based on.
Notice before termination. We give you at least 30 days' notice with reasons before terminating your coach profile. We may terminate without notice only where the law or an authority requires immediate action, where we exercise a right to terminate for an imperative reason under the law, or where you have repeatedly broken these terms.
Your side of the story. You can explain the facts and challenge a decision through the complaint route in section 13. If we find the restriction was not justified, we will lift it without undue delay.
11. Leaving the directory
You can stop being a listed coach at any time, free of charge: write to support@tenniswarsaw.club to remove your coach profile, or delete your whole account in Profile → ⚙️ Settings → Privacy & data → Delete account. Lessons you have already agreed with players remain a matter between you and them; please let them know. What happens to your data is described in section 9 and on the account deletion page.
12. Changes to these terms
We will tell you about any change to these terms on a durable medium (by email or a message in the Service or the bot) at least 15 days before it takes effect — longer if the change requires significant technical or commercial adjustments on your part. You may end the agreement before the change takes effect. You may also waive the notice period by a written statement or a clear action, such as publishing a new offer during the notice period (except where the notice period must be longer than 15 days because of the adjustments needed).
The notice period does not apply where we must change the terms to comply with the law or a decision of an authority, or to protect the Service or its users against an unforeseen and imminent danger (such as fraud, malware, spam or a data breach). Changes never apply retroactively.
13. Complaints and mediation
You can complain about our decisions (including a refusal to approve a profile, restrictions or termination), about technical problems, or about how the Service treats you as a coach: write to support@tenniswarsaw.club, describing the issue and what you expect. A person — not an automated system — reviews every complaint, and we reply within 14 days, explaining our decision.
As a small enterprise we are exempt from the formal internal complaint-handling system and mediator listing of the P2B Regulation (articles 11(5) and 12(7)), but we handle every complaint in the way described above. If a dispute remains, we are open to trying mediation with a mediator we agree on together; mediation is voluntary and does not limit your right to go to court.
14. Other channels and your rights in your content
- You are free to offer your lessons through other channels, including your own website and other platforms, on different terms and at different prices (article 10 of the P2B Regulation).
- We don't use other distribution channels or affiliate programmes to market coaches' offers. If that changes, we will describe it here.
- Your photos, video and descriptions remain yours. You grant us the licence described in the Terms of Service, only to show them in the Service.
15. Governing law and disputes
These terms are governed by Polish law. Disputes with coaches acting in the course of their business are resolved by the common court having jurisdiction over our registered office, without prejudice to mediation (section 13). These terms are available in Polish, English, Ukrainian and Russian; in case of any discrepancy, the Polish version prevails.
